How to record a Teams meeting: built-in recording or note1.ai

There are two straightforward ways to record a Microsoft Teams meeting:

  1. Use Teams' built-in recorder. Capture video, audio, and screen sharing, with the recording saved in OneDrive or SharePoint.
  2. Use note1.ai. Capture the conversation and get a searchable transcript, summary, action items, and Live AI Assistant help during the meeting.

Option 1: use Teams' built-in recorder

For a work or school meeting, join the call and select More actions > Record and transcribe > Start recording, then Confirm. You need an eligible account and a meeting role with recording access. Teams notifies everyone when recording starts.

  1. Join the meeting with your work or school account.
  2. Open More actions > Record and transcribe > Start recording.
  3. Select Confirm and look for the recording indicator.
  4. To finish, return to Record and transcribe > Stop recording.

Teams saves ordinary non-channel meetings in the organizer's OneDrive and channel meetings in SharePoint. Once processed, the recording appears in the meeting chat or channel conversation. Personal Teams accounts, direct calls, webinars, and town halls have different recording rules.

Option 2: record with note1.ai

Use note1.ai's Teams note taker when you want the conversation turned into useful notes and follow-ups. The desktop app is available for macOS and captures meeting audio without adding a bot to the participant list.

  1. Download the note1.ai app and sign in.
  2. Join your Teams meeting.

The Teams transcription workflow keeps searchable text and speaker context with the meeting. The summary helps you find decisions, while action items let you review assignments and track what happens next. Available timestamps and playback let you return to the discussion behind a commitment.

The record lives in note1.ai, separate from Teams' native OneDrive or SharePoint recording. The desktop app captures audio for transcripts and notes; use Teams' recorder when you also need video of a screen share.

Keep your standup update on track with Live AI Assistant

Before a Teams standup, save your update in Personal notes. Live AI Assistant summarizes it into talking points, helps track what you have covered, reminds you about points still to mention, and surfaces highlights as the conversation develops.

The Assistant appears in note1.ai's floating Mac overlay with an available live transcript. You cannot type questions to it: it follows the conversation and proactively reacts with suggestions and reminders. You can mark talking points yourself and review the resulting follow-ups after the call.

Who can use Teams' built-in recorder?

Recording requires the right license, administrator policy, and meeting role.

Microsoft's recording instructions list eligible licenses, including Office 365 E1/E3/E5 and A1/A3/A5. Both the organizer and recording initiator need the required licensing and permissions. Ask IT to confirm your assigned subscription and services; not every Microsoft 365 account can record.

Teams Premium is not a universal requirement for basic meeting recording. Additional controls, including choosing who can record and transcribe, can depend on Teams Premium or a Copilot license.

Microsoft's meeting role table gives recording capabilities to organizers, co-organizers, and presenters. External account restrictions still apply, even to presenters.

Where available, Who can record and transcribe can limit capture to organizers and co-organizers, include presenters, or allow no one. Organizers can review it in Options > Recording and transcription, subject to organization policy.

Teams recording controls on a computer or phone

Desktop meeting controls

Use the steps above in the Teams desktop meeting window. Microsoft's documentation also describes an Audio only choice under the recording dialog's More options. Keep video enabled if people need to replay a demonstration.

Only one native recording runs at a time. If it is already running, confirm who will share the file.

To finish capture, select More actions > Record and transcribe > Stop recording. This stops live transcription too. Stop transcription stops only the transcript; the recording continues.

Recording continues if the person who started it leaves. Use the stop control when capture is complete. Recording stops automatically when everyone leaves.

Teams on iPhone or Android

Microsoft documents native recording in the Teams mobile app:

  1. Join with an eligible work or school account and permitted role.
  2. Tap More options > Start recording in the meeting controls.
  3. To finish, tap More options > Stop recording.
  4. After processing, open the recording from the meeting chat or channel.

The same license and policy restrictions apply on mobile. The recording saves to Microsoft 365 storage rather than your camera roll. App versions and organization settings can change which controls appear; ask the organizer or IT if the documented option is absent.

Check what the recording will contain

Teams records meeting audio, video, and screen sharing. Microsoft lists exclusions such as whiteboards and annotations, shared notes, and videos or animations inside PowerPoint Live presentations.

Keep slides alongside training recordings. A short practice recording will show whether your essential visuals are captured.

Find the recording in Teams, OneDrive, or SharePoint

Open the past meeting chat and look for the recording or Recap. You can also open the past event from the Teams calendar. For a channel meeting, start with the channel conversation.

The chat entry is a link to a file. Microsoft's storage and permissions guide describes the underlying locations:

Check the organizer for shared-mailbox meetings, where the fallback may apply. Direct one-to-one and group calls use different storage rules.

Wait for processing if the link is missing immediately afterward. Report upload failures or full storage to the organizer and IT promptly; they may need to recover the recording manually.

Share or download with the right permissions

For a normal non-channel meeting, internal invitees generally receive viewing access. Guests and external attendees need explicit sharing. Channel recordings inherit the relevant SharePoint permissions, so channel membership matters.

Open the recording's OneDrive or SharePoint page and use its sharing controls to grant access to the intended people. The organizer and co-organizers normally have edit permissions for ordinary meeting recordings. If you cannot manage access, ask one of them to share it.

A copied chat link does not override file permissions. Ask an external recipient to use the account you shared with, and check whether your organization allows external sharing before changing the audience.

Viewing access does not always include a download button. The file's sharing settings and administrator controls determine whether recipients can download a copy.

Check the expiration date

Microsoft's expiration policy documentation lists a default of 120 days for meeting recordings and transcripts when automatic expiration is enabled. Administrators can change the setting, and the documented maximum default for A1 users is 30 days.

Open the recording's browser player and inspect its expiration countdown. People with edit permission can change the expiration where allowed. Watching the video does not extend its life.

Expired recordings move to the recycle bin in the OneDrive or SharePoint location where they were stored. Ask the owner or administrator about recovery quickly. Your organization's retention policies can impose additional requirements, so changing a visible expiration date is not a complete retention policy.

Start transcription and retrieve the transcript

A recording preserves replayable media; a transcript stores recognized speech as text. Transcription has its own policy controls. Microsoft's live transcript instructions say transcription starts automatically with recording, but check the transcript indicator and your organization's settings if text is essential.

To transcribe without recording video on desktop:

  1. Open More actions > Record and transcribe > Start transcription.
  2. Confirm the language spoken in the meeting.
  3. Select Confirm and check the transcript as people speak.

Participants receive a transcription notification. Live captions alone should not be treated as proof that a saved transcript exists.

After the meeting, open Chat, choose the meeting chat, then select Recap > Transcript. Organizers and co-organizers can normally use Download to choose .docx or .vtt; other people's download access depends on policy and permissions. On mobile, Microsoft documents finding Transcript beneath the meeting-ended message in chat.

Review names, numbers, and commitments before using the text as a formal record. Verify uncertain deadlines against playback when available, or clarify them with the speaker.

Microsoft's administrator recording guide confirms that both organizer and initiator need recording permission. Give IT the meeting date, organizer, your account, and the exact symptom so they can check the appropriate policy.

Frequently asked questions

Do I need Teams Premium to record?

Not for every meeting. Basic recording is available with eligible licenses and administrator approval. Teams Premium or Copilot licensing can add controls over who may record and transcribe.

Can a presenter record without the organizer present?

An eligible internal presenter may record when policies and meeting options allow it. The organizer does not have to be present. An external presenter cannot use the standard native meeting recorder.

Does Teams save the recording on my laptop?

Native recording saves to OneDrive or SharePoint. A local file exists only if someone with the appropriate access downloads a copy.

Can I get a transcript without video?

Yes, start transcription separately when your role and organization allow it. Confirm that it started during the meeting; opening Recap afterward cannot recreate a transcript of speech that was never captured.
