Moving away from Granola can mean changing how you take notes, not just changing who transcribes the call. You may want retained audio, more help using a prepared update, a place for shared project documents, or a way to process recordings sent by someone else. Those requirements lead to different alternatives.

This guide compares Fathom, note1.ai, Notion AI Meeting Notes, and Otter using the same criteria: capture and devices, help during the meeting, the record you keep afterward, and practical limits. Products are listed alphabetically. The verdict explains which workflow we recommend a particular tool for.

What Granola already does

Granola combines your own notes with the conversation. Its enhanced-notes documentation says the output uses the transcript, raw notes, and calendar information. Adding a point to your notes and regenerating can change the result. Automatic enhancement starts when the call ends or you stop capture.

That does not make Granola an after-meeting-only product. Its AI chat works before, during, and after meetings. During a call, you can ask it to catch you up, recap actions, or explain a topic. Eligible users can also receive pre-meeting briefs with relevant context and open threads.

Granola lists macOS, Windows, iOS, and Android on its product page. If you are switching because an older review called it Mac-only or said it had no live AI help, check the current product first.

Two constraints are more concrete. Its transcription guide excludes prerecorded audio imports, and its security page says it retains transcripts and notes rather than meeting audio recordings. You cannot recover a recording from a text archive that never retained the audio.

Use the same criteria for every app

Decide what you want to preserve from Granola before evaluating replacements:

Capture: can it handle your desktop calls, headset setup, and in-person meetings?
During the meeting: can you ask questions, use prepared notes, or receive relevant prompts without losing track of the discussion?
After the meeting: do you need enhanced notes, original audio, shared documents, exported files, or trackable assignments?
Limits: are the required devices, history, AI usage, storage, and team controls included in your plan?

A product can offer chat without documenting access to an actively growing transcript. An unverified capability should be tested, not scored as missing. The sections below distinguish what the cited guidance establishes.

Fathom

Fathom centers the workflow on recorded calls and reusable excerpts. Its Free plan lists unlimited recordings and transcription, basic summaries, clips, playlists, and search across calls. Retained recordings are a meaningful difference if you regularly need to hear the original explanation.

Capture and live help. Fathom offers meeting-bot capture and lists bot-free Mac capture as beta. Its Ask Fathom guide describes questions on recording pages and across meeting history. That confirms recorded-meeting Q&A; the reviewed guide does not establish live-transcript queries during an ongoing call.

After the meeting. Clips let a colleague listen to a selected explanation without opening the entire call. Paid plans add advanced summaries, action-item features, and team organization. Check the sharing audience before distributing customer or interview excerpts.

Limits and tradeoffs. Fathom does not support external recording uploads in the cited help article. Its in-person guidance, updated in August 2026, still describes dedicated iOS capture as coming soon. If mobile in-person recording is central to your Granola use, confirm availability before replacing that workflow.

note1.ai

note1.ai brings preparation and live assistance together with transcripts, summaries, playback, and action tracking. A daily standup is a concrete use case: save the update you intend to give, keep track of its points during the call, and review the resulting work afterward.

Capture and live help. It offers a visible Notetaker and bot-free recording on Mac. In the floating Mac overlay, Live AI Assistant summarizes Personal notes into talking points, helps track what has been covered, reminds you about points still to mention, and surfaces highlights. You can mark talking points yourself. You cannot type questions to this Assistant: it follows the live transcript and proactively reacts to the conversation with suggestions and reminders. It does not speak or send replies on your behalf.

The Assistant also uses the Shared agenda and an optional meeting objective. Its context controls let you stay within the current meeting or include selected recent meeting summaries and open action items. Related meetings are selected using meeting links and shared participants; this is bounded context, not unlimited access to every historical transcript.

After the meeting. note1.ai uses the transcript and relevant Shared notes to prepare the shared summary. Personal notes guide your Assistant and are not supplied as private context to that shared summary. Playback and timestamped actions help verify commitments, while the action-item dashboard supports assignments, manual follow-ups, and status changes. Paid plans provide downloads of transcript and summary JSON files, plus available audio or video in its stored format.

Limits and tradeoffs. The Assistant overlay is part of note1.ai for Mac, requiring macOS 15 or later and Apple Silicon. The published Trial allowance is three meetings per month and 180 transcription minutes. Pro includes 60 meetings and 3,000 minutes; Business includes unlimited meetings and 7,500 minutes. Smart search is available on Pro and Business; Deep search is available on Business. The web dashboard has no direct Granola CSV importer or PDF/DOCX conversion in its meeting-download menu.

Notion AI Meeting Notes

Notion AI Meeting Notes puts the transcript and summary alongside the documents a team already uses. Its meeting-notes guide explicitly says both the transcript and your written notes inform the summary. An agenda or context added before the call therefore has a role in the final output.

Capture and live help. The desktop app captures microphone and system audio on Mac and Windows. Browser and mobile capture use the microphone, so a headset call needs particular care: the other side may not reach that microphone. Live transcription is documented. Notion Agent also offers page-aware chat, but the reviewed guidance does not confirm querying an in-progress meeting transcript while capture continues.

After the meeting. Stopping transcription starts summary generation. Configurable summary instructions and page-based sharing can help teams keep decisions next to project work. A meeting-notes database gives the records a home in the workspace rather than in a separate transcription library.

Limits and tradeoffs. Ongoing AI Meeting Notes access generally requires Business or Enterprise, with eligible mobile subscription exceptions in the guide. Lower plans list limited trials. Check page permissions before recording sensitive discussions, and test your room's speaker labeling. The documentation says the feature is not supported offline.

Otter

Otter covers live transcription, meeting audio playback, mobile recording, and uploaded audio or video. That breadth matters when your work includes both meetings you attend and files a colleague sends you to transcribe.

Capture and live help. Its desktop app supports bot-free recording on Mac and Windows, alongside other meeting and mobile capture options. Otter AI Chat explicitly supports questions during live meetings as well as after them and about imported files. Asking for live clarification is therefore an established use, not merely a post-call feature.

After the meeting. Playback and exports can support a research archive, while shared conversations and AI Chat help retrieve details. Export formats depend on the plan: Basic lists MP3 and TXT, Pro adds formats including PDF, DOCX, and SRT, and Business and Enterprise list bulk export.

Limits and tradeoffs. Basic has 300 monthly transcription minutes, a 30-minute conversation limit, and three lifetime imports. Pro has 1,200 minutes, 90-minute conversations, and ten monthly imports. Business separates unlimited meetings and in-app recordings from 6,000 imported-file minutes per user monthly. AI Chat has its own query limits. Calculate your actual recording and upload workload rather than judging the subscription by one allowance.

Test the writing and recording workflow

Use the same three approved conversations with the tools you shortlist: an online one-to-one, a group decision meeting, and an in-person discussion. Keep the device and microphone setup close to normal use.

Prepare a short update with progress, a blocker, and a question. Check how your written preparation influences the available live help or final notes.
During the call, test the interaction the product actually supports: a question, a reminder, a checklist, or live transcription.
Review a decision and distinguish it from an idea that was rejected. Check names, conditions, and deadlines.
Find the source behind an important point. If audio matters, confirm that it is retained and accessible.
Ask a teammate to open the record and use it for a follow-up, without exposing unrelated private notes.

Do not equate a short, tidy summary with a complete replacement. The practical test is whether the tool preserves the parts of your routine that matter and solves the limitation that prompted the switch.

Move your Granola notes carefully

Granola documents CSV export through Settings > Profile > Generate CSV. It includes titles, summaries, transcripts, and basic details for your own notes in the selected workspaces. It can include older owned notes beyond the free plan's visible history, but excludes deleted notes and notes without summaries.

That workflow is not a company-wide administrator export. Coordinate with note owners while they still have access and check any Enterprise export restrictions. Open a sample and verify the fields you need before transferring the full set.

A CSV can remain a useful document archive even when the new service cannot turn it into native meeting records. Preserve important personal context separately if it is not included, and keep only the records you are authorized to retain. Historical notes cannot supply missing audio recordings.

For note1.ai, keep the Granola CSV as a separate archive. The current web dashboard does not import it into historical meeting records. You can paste relevant text into a meeting's notes, but that does not recreate the original meeting, recording, or transcript timestamps.

Privacy and team access

Bot-free capture does not remove consent or data-handling obligations. Tell participants, obtain consent where required, and check company policy. Review processing, storage, retention, deletion, and sharing terms for each provider rather than inferring them from the presence or absence of a meeting bot.

Granola's model-training guidance says non-Enterprise users' anonymized data may be used to improve its service, with an opt-out available on every plan; Enterprise organizations are opted out by default. It also says third-party providers cannot train on customer data. Apply the same questions about training and controls to any replacement.

For team purchasing, ask what happens when an employee leaves, who can export records, and which plan includes the required administration. Collaboration alone is not a reason to assume the existing tool cannot meet your needs.

Does Granola already offer AI help during a meeting?

Yes. Its documentation explicitly supports chat before, during, and after meetings. It also documents pre-meeting briefs for eligible users. Compare the specific assistance you want rather than assuming that moving to another app is necessary for all live AI help.

Can I ask note1.ai's Live AI Assistant questions?

No. It has no question-and-answer chat. It follows the conversation and proactively surfaces suggestions, reminders, and highlights using the live transcript and your preparation. Granola and Otter support asking the AI questions during a meeting; note1.ai's Live AI Assistant does not provide that interaction.

Will every alternative use my written notes the same way?

They use notes for different purposes. Granola and Notion use your written notes when generating enhanced summaries. note1.ai uses Personal notes to prepare live talking points, and Shared notes to provide context for the post-meeting summary. Private preparation and shared meeting context stay separate.

Can I keep a copy of my notes without importing them into a new app?

Yes. An authorized export can remain a separate archive. Verify that you can open and search it, protect its access, and follow the relevant retention policy. Importing it into another product is a separate capability.

For a standup routine built around a prepared update, we recommend note1.ai. Save the update beforehand, use Live AI Assistant to condense it into talking points, track what you have covered, and receive reminders and highlights as the discussion moves. The meeting record and action tracking then support follow-up.

That recommendation is specific to the routine. Granola and Otter already offer live chat. Notion keeps notes close to project documents, while Fathom offers retained recordings and clips. Those strengths can matter more when your priority is workspace consolidation, mobile capture, or a recording archive.
