How to Create Automatic Meeting Notes in Microsoft Teams
Automatic meeting notes in Microsoft Teams do not come from one switch. Choose collaborative notes, a transcript, recap, AI notes from Copilot or Facilitator, or an external note taker based on the output you need.

Option 1: Use collaborative meeting notes in Teams
Collaborative meeting notes are a shared Loop document for agendas, notes, and tasks. They save automatically but do not transcribe speech.
To prepare notes before a meeting on desktop:
- Open Calendar in Teams and select New.
- In the meeting details, select Add an agenda.
- Add the agenda, notes, or tasks, then send the invitation.
During the meeting, select Notes to add updates or assign tasks. Afterward, open the past calendar event and expand its details. External attendees cannot access or edit these notes.
Option 2: Turn on Teams transcription and recap
A transcript is the speaker-attributed written record. Microsoft's live transcription instructions say recording starts transcription automatically. To transcribe without recording:
- In the meeting controls, select More actions.
- Select Record and transcribe > Start transcription.
- Confirm the language being spoken.
Everyone sees a notification when transcription begins. After the meeting, open the chat, select Recap, then Transcript. Organizers and co-organizers can normally download a .docx or .vtt file.

Option 3: Generate notes with Copilot or Facilitator
Copilot in Teams meetings gives licensed users private responses. Facilitator produces shared notes and visible chat responses.
After a meeting, open its chat, select Copilot > More prompts > Generate meeting notes. A transcript must be available for later questions about spoken content. Verify the result.
To enable Facilitator while scheduling, open Options > Copilot and other AI, allow Copilot and Facilitator, and turn on Facilitator. During a meeting, a desktop or web organizer or presenter can select More actions > Turn on Facilitator. Notes take a few minutes to appear and remain after Facilitator stops.
As of August 2026, the user starting Facilitator needs eligible Microsoft 365, Teams, and Microsoft Copilot licenses. Administrators can block the app or its required Loop experience. Some task features remain in public preview. Review generated decisions and action items before sharing them.
Option 4: Use a Microsoft Teams AI note taker

Why automatic notes may be missing
Check these causes in order:
- No transcript: post-meeting Copilot answers and transcript-based AI summaries need a saved transcript.
- Policy blocks transcription: Microsoft documents transcription as both an organizer and user policy. An admin can check Meetings > Meeting policies > Transcription in the Teams admin center.
- License is missing: Copilot, Facilitator, intelligent recap, and Teams Premium features have different license requirements.
- Facilitator is blocked: the Teams app policy or tenant-wide Loop setting may disable it.
- Meeting type is unsupported: Facilitator cannot be added to channel meetings, instant meetings, or Teams calls, according to Microsoft's current support page.
- Language or duration is unsupported: select the actual spoken language. Some recap AI features also require a supported language and a meeting of at least five minutes.
- Access is restricted: external, anonymous, and cross-tenant attendees have narrower transcript and notes permissions.
Administrators should check Microsoft's transcription policies and Facilitator setup, not one user's client.
Recording, notification, and consent
Microsoft says Teams notifies all participants when recording or transcription starts. That notice does not replace your legal or organizational obligations. Microsoft's recording guidance warns that some regions require everyone's permission.
Before capture, tell participants what will be stored and why, and offer an alternative if someone objects. Do the same for external note takers, especially when local capture triggers no Teams notice. Follow retention, sensitivity, and access policies, and review all AI-generated text.
