Tasks go to one Asana project
Your admin picks the Asana project that receives new tasks.
note1 sends the action items from your meetings to an Asana project, and links the task your team already created. Asana action items without retyping.
Before creating anything, note1 searches the target's open tasks and those closed in the last 30 days, and judges whether one already tracks the same work.
If an existing task covers the action item, note1 links it and adds a comment with the meeting quote and a link to the meeting.
When a match is uncertain, note1 shows it as a suggestion in note1. You approve it with one click, or ignore it.
Action items with no match become new tasks in Asana when auto-create is on, which is the default. With it off, they appear as "create" suggestions instead.
Choose Suggest, where matches wait for one-click approval in note1, or Auto-link, where strong matches link automatically and weaker ones become suggestions.
A new task carries the context from the meeting, so the person doing the work does not need to replay the call.
The action item text becomes the task title, and its description comes along.
The owner's name, the supporting quote and who said it.
A link back to the meeting in note1, with the full transcript and summary.
note1 sets the Asana assignee by email when it matches the action item owner.
About once an hour, note1 checks linked tasks. When one is closed in Asana, note1 can show a "Possibly done" proposal on the action item, close the item automatically, or do nothing. Your team admin chooses which. Rejected proposals are not repeated.
